1) Who uses your service?
We work with academic research units transcribing one to one interviews, focus groups and forums; universities who require seminars, lectures or conferences to be transcribed; conference companies who want to provide post-conference papers; and PR/market research interviews (face to face, video and telephone).
2) Does SP-Transcript use freelancers?
SP-Transcrip does not outsource or work with freelancers. We handle all transcription jobs in-house through a team of trained transcribers who are well versed in specialized fields. We are able to provide a quick and high quality transcription service since all work is done in-house. This also ensures that the integrity of your data is guaranteed.
3) Which different audio file formats do you accept?
Digital audio files are our preferred format, however we handle audio in analog format such as mini, micro and standard cassettes, mini discs, CD's, DVD's and video files compatible with Real Player. We handle digital files such as MP3, WAV, WMA etc; video files such as mpg, MPEG, MOV, WMV, VHS video etc; IC recorders such as MSV, DVF, DSS etc. Please look at File Formats for details.
4) Do you accept audio in languages other than Spanish?
No. We currently provide only Spanish transcription services.
5) I have an audio which contains both Spanish and another language(s). Will you accept this?
Yes, we do accept such assignments. Typically, these assignments involve simultaneous interpretation of Spanish into another language and/or a group discussion where the speakers are multi-lingual. However, in all such cases we transcribe only the Spanish portion. Please contact us for fees.
6) What fields and subject areas do you specialize in?
We are a specialist provider of general and business transcription. This means that we are very good at transcribing international conference proceedings, interviews, group discussions, business/academic meetings, company off-site events, etc. This requires our transcribers to be knowledgeable on a diverse range of subject areas including medicine, business, media, science and engineering. Our transcribers have very diverse academic backgrounds, are familiar with multiple accents and have experience in working with a wide assortment of audio files. 7) Do your employees sign non-disclosure and confidentiality agreements?
Yes, all our transcriptionists as well as supporting staff need to sign non-disclosure and confidentiality agreements before they start employment with us.

8) How do I submit a job? What is your service delivery process? How do I interact with you?

9) Who will carry out the transcription? What transcription quality measures do you have in place?
The work is done by a team of senior transcribers who have acquired skills in comprehending various worldwide accents, diverse subject areas and different transcription types through years (minimum three years) of experience. To ensure quality we follow a two-level transcription process. At the first level, the audio is transcribed and then the file is rechecked for any gaps by referring to online dictionaries, Internet search engines and other documentation. At the second level, a senior proofreader does a detailed quality check and proofread to ensure it conforms to our quality standards. This ensures that each audio goes through at least 2 different sets of ears so that the output is as free from errors and omissions as possible. In addition, periodic training and monthly quality feedback is provided to each transcriber.
10) How is the final transcript delivered?
We deliver the jobs by email. The final transcript is an attached MS-Word format.
11) How much time do you require to complete a transcription job?
We pride ourselves on providing a high-quality service with extremely quick turnaround times. Depending on the client's request, we have three different turnaround times for digital and analog tapes. In the case of a digital file, we deliver the transcript for one hour of audio recording within 5 working hours at the earliest. For details, please refer to our Fees page.
12) Can you handle urgent jobs?
We handle urgent jobs through our rapid turnaround service, SP-Transcript Express. In the case of a digital file such as mp3, wav etc, we deliver the transcript for one hour of audio recording within 5 working hours at the earliest. Also, we respond to your enquiry and request for a quotation within one hour during Business Hours.
13) What are the fees for Spanish Transcription?
SP-Transcript charges its clients a flat transcription rate for each recorded minute of audio. Our system lets you know upfront how much your project is going to cost. Please refer to our Fees page for details.
14) Do you offer a discount?
We offer the volume discounts depending on the duration of the audio sent for transcription. We offer a 5% discount for jobs with recording time between 5 and 10 hours. For jobs with recording time greater than 10 hours, we offer a 10% discount.
15) Do you offer a free trial?
For new clients, SP-Transcript offers a no-obligation free trial transcription service for 15 minutes of audio recording. We are confident that you will be delighted with the quality of our service and with the efficiencies and economies that we have to offer. Please submit your request from this page stating [Sample Transcription Request] in the comments column. Our client servicing team will contact you with information for you to upload the files.
We will transcribe the first 15 minutes and deliver it to you free of charge so that you can confirm SP-Transcript transcript quality. When we receive your confirmation, we will transcribe the remaining part to deliver the complete transcript.
16) Why do you have a minimum charge?
There are certain processes and therefore time that is spent on every job irrespective of its size. This is the reason we need to have a minimum charge. We charge a fee for 30 minutes if the total audio duration of the job is less than 30 minutes.
17) What happens if I request more than one file of under 30 minutes duration each?
When you request more than one file at a time and the sum total of recording duration exceeds 30 minutes, the minimum charge does not apply. For example, if you request two files of 20 minutes duration each, it is calculated as 40 minutes.
18) Why do you publish your prices?
What makes us different from other transcription services is that we actually publish rates on our site. We want you to make the best and most well-informed decision possible and know upfront the basic rate you will pay. By publishing our transcription rates on our site, there are no surprises when you get your bill.
19) How do I upload an audio file?
Clients can upload directly to our FTP site in case of digital files such as mp3, wav, wma etc. After we confirm your request, we will give you a user name and password for upload to the FTP site
20) Can you deliver the transcript in parts?
In cases where the client orders more than one file or cassette tape to be transcribed, we can deliver the final transcript in parts
21) What are your business hours?
SP-Transcrip's business hours are 09:00 - 19:00 Indian Standard Time (03:30 to 13:30 GMT) from Monday to Saturday. We are closed on Sunday. In addition, when we close our office on any other public holiday, we will inform you in advance
22) What is the minimum audio duration that I can send for transcription?
You can send all jobs for transcription regardless of the duration. We charge per audio minute and not per hour. However, the minimum fee is for 30 minutes.
23) I don't have digital files. How do I send you my physical tape for transcription?
Audio which is in non-digital format (typically cassette tape or MD), can be sent by post or courier to one of the Operations Division of our company.
24) Please explain to me the symbols that are used in the transcript?
